Oracle HCM Pay Union Report – Canada

Canadian payroll teams require detailed visibility into employee earnings, hours, deductions, and union-related payroll information for a selected pay-period range. Although Oracle Fusion HCM stores this information across payroll results, balances, employee assignments, and organizational records, retrieving it in one consolidated output requires a customized reporting solution.

DataTerrain developed a customized Oracle HCM Pay Union Report that accepts Pay Period Start Date and Pay Period End Date as runtime parameters and displays employee-level earnings and deduction information for the selected period.

Customer Profile

A Canadian organization using Oracle Fusion HCM Payroll required a recurring union payroll report containing employee identification, earnings, working hours, deductions, union codes, location information, and accumulated payroll values.

The report was required for payroll review, union-related reconciliation, and validation of current, month-to-date, quarter-to-date, and year-to-date earnings and deductions.

Business Requirement

The customer needed a consolidated report that displayed employee earnings, earning hours, union information, and deduction details for a selected pay-period range. Users needed to enter the following runtime parameters:

  • Pay Period Start Date
  • Pay Period End Date

Based on the selected dates, the report had to retrieve the relevant employee payroll records and display only the predefined columns required by the business.

Without this customized report, the process would have involved:

  • Extracting employee payroll results for the required period
  • Retrieving earning amounts and hours separately
  • Identifying the associated union and deduction information
  • Retrieving current, MTD, QTD, and YTD balances
  • Combining the extracted data manually
  • Validating employee-level earnings and deductions
  • Preparing a consolidated report for payroll review

Solution Overview

DataTerrain developed the Pay Union Report in Oracle Fusion HCM to provide a structured employee-level payroll output for the selected period. When running the report, the user enters:

  • Pay Period Start Date
  • Pay Period End Date

The report retrieves payroll records within the selected pay-period range and combines employee, company, payroll group, earning, deduction, union, check-date, and location information for the set of union codes pre-filtered in the Extract.

The same report can be reused for different payroll periods without changing the underlying report logic.

Understanding the Report Columns

Company and Employee Information

The report identifies the company, payroll group, employee ID, and employee name associated with each payroll record.

Payroll Period Information

The Pay Period End and Check Date columns help users identify the payroll period and payment date associated with the reported earnings and deductions.

Earnings Information

The report displays the employee's earning hours and earning amount together with the associated GL Pay Type. It also provides accumulated earnings values for different reporting periods:

  • Month-to-Date
  • Quarter-to-Date

Both earning amounts and earning hours are available for these periods.

Union and Deduction Information

The report displays the Union Code associated with the employee's payroll record, together with the applicable deduction and code. Deduction balances are shown for:

  • Year-to-Date

Location Information

The Location Code helps payroll users identify the employee's associated work or payroll location where that information is available in Oracle HCM.

Reporting Approach

The report can be developed using Oracle HCM Extracts because the requirement includes:

  • Requirement
  • Employee-level payroll data
  • Earnings and deduction results
  • Current, MTD, QTD, and YTD balances
  • Payroll hours and amounts
  • Runtime date-range filtering
  • Recurring report execution
  • Potentially high payroll-data volumes

HCM Extracts provides a scalable approach for retrieving payroll results and balances across multiple employees and payroll periods.

BI Publisher can be used with the HCM Extract to produce the final structured output with the required column sequence and business-friendly formatting.

  1. An authorized user opens the Pay Union Report.
  2. The user enters the Pay Period Start Date.
  3. The user enters the Pay Period End Date.
  4. The report identifies payroll records within the selected period.
  5. Oracle HCM retrieves the employee and payroll details.
  6. Earnings, hours, deductions, union codes, and balance values are retrieved.
  7. Current, MTD, QTD, and YTD values are included in the output.
  8. The final report is generated in the required Excel format.
