Consolidated View of Person and Employment Data

A custom Oracle BI Publisher report helps HR teams replace multi-screen lookups with a secure, Excel-ready workforce view.

The report combines person, employment, assignment, organizational, location, and payroll-classification attributes into a single structured output, using Legislative Data Group as the reporting filter.

HR teams often need a complete employee view for workforce validation, audits, employment reviews, and internal reporting. In Oracle Fusion HCM, the required information may be distributed across Person Management and Employment pages, forcing users to move between screens and manually reconcile related fields.

DataTerrain developed a customized Employee HR Data Report for a US-based Oracle HCM environment. The solution brings authorized employee and assignment data together in a clear, reusable output that can be filtered by Legislative Data Group and exported for business use.

Customer Challenge

The customer needed a dependable employee-level report to support day-to-day HR operations and periodic review activities.

Building the same view manually required users to:

  • Open multiple HCM pages
  • Locate the relevant person and employment records
  • Verify effective dates and assignment status
  • Copy the results into spreadsheets

Alternatively, users had to run two or three Oracle prebuilt reports and merge the outputs, which could introduce duplicate rows or omissions.

The manual workflow typically involved:

  • Person record lookup. Finding identifiers, demographic information, contact details, and home address attributes.
  • Employment review. Checking the legal employer, worker type, hire or termination dates, employment action, and effective-dated records.
  • Assignment and organization validation. Confirming the assignment number and status, business unit, grade, department, and worker classification.
  • Spreadsheet consolidation. Manually bringing information together for audit, compliance, or internal review.
  • Oracle prebuilt reports. Running multiple standard Oracle reports and consolidating the relevant data into one worksheet, creating additional reconciliation effort and the possibility of duplicate or missing rows.

This approach was time-consuming, relied on individual users following the same steps, and increased the risk of missed fields, inconsistent date interpretation, and transcription errors.

The DataTerrain Solution

DataTerrain created a custom Oracle BI Publisher report that consolidates data represented in the Manage Person and Manage Employment areas of Oracle HCM.

At runtime, the user applies the relevant Legislative Data Group filter. The report header clearly identifies the report, the filter used, and the number of returned lines, making the output easier to review and reconcile.

The result is a structured dataset of employees and assignments designed for Excel-based review. Instead of repeating the same navigation and manual cross-checking, HR users can work from a single, consistent report.

For example, action and date fields support the review of events such as transfers and terminations, while Paygroup and GL Reporting Unit provide valuable payroll and financial reporting context.

How the Report Works

An authorized user opens the Employee HR Data Report in Oracle HCM. The user selects the applicable Legislative Data Group and Effective End Date for the reporting population. The BI Publisher data model retrieves the permitted person, employment, assignment, organization, and payroll-classification attributes. The template formats the results into a consolidated, Excel-ready output with a visible row count for straightforward review.

The same design can be extended with additional runtime parameters, such as:
